Photo Submission Guidelines
In order to keep things straightforward as to requirements for photos to be submitted, these are the guidelines that The Photo Roadies will use.
- To remain a Photo Roadie and continue to receive to assignments and hit lists, you must complete ONE show that is presented for consideration on the Hit List which is emailed out when updated. You are more than welcome to shoot as many shows as you want but remember we are spreading the work around so everybody on the team is not left idle. We will try to ensure that everyone has something to choose from.
- The mininum number of shots required for use on social media channels is 15 in total consisting of landscape and portrait style pictures. Landscape is the preferred submission format will for use on Instagram, Facebook and the website. While a mix of both will used on Facebook. You can submit more of your best shots than the minimum. We do get critiqued on our online presence and thus determines our access to events.
- The unified watermark of your photo logo and the Photoroadies logo is be placed on all photos sent in for social media publication. In reviewing, other submissions to outlets like Exclaim! and Canadian Beats, the logo placement can be either in the lower left or lower right of the picture, which can be easily set up in your photo editing program (i.e. Lightroom) Samples below.
- Preferred size submissions should be equal to the 3 X 2 settings that are found in most cameras. If you are already using this format, please do not edit to a different shape that will make it difficult for posting where needed. Remember that we are looking for a more rectangular shape for presentation and viewing, and for submission to our media partners.
- When we deal with bands, management companies, or promoters that ask for photos after the show - photos with logos will be sent forward for their viewing and consideration first. Be prepared to have the same photos available that you submit and/or a few more extra watermark free, on the the understanding that when we send them to these clients that we are expecting a photo credit.
- Hit List Notes: When you see this (!!!!) in the photographer column, it indicates we have clearance and need someone to do the shoot. When you see this (***in progress), it means we are in touch and waiting for a response or clearance to shoot. If you see this (name??), you are being asked if you are available to do this shoot. When you receive a Hit List, and see a show of interest - send an email, please!! With Dropout Entertainment now in the loop, you will see where addition pics/reviews/interviews may be needed. Those pictures get forwarded on watermark free.
- Distribution process and posting: To band/management/promoter - within 24 hours of receipt. Facebook/Instagram ASAP or within 24 hours of receiving. Pictures on the website are limited and will be constantly edited due to web space restrictions, and will reflect our more high end shots/clients.
- Distribution of photos after a shoot, if arranged by The Photo Roadies: Photographer > Photo Roadies > Band or Management. If you are exchanging business cards or have an email for contact for the band, remember all photos come through "head office" and should have the unified logo for distribution. Unless you arranged your own shoot with a band, and then sharing with the Roadies - we'll be happy to share those shots if they meet our criteria.
- Seeing as how are we a team building up both our brands It would be helpful when sharing pictures from a shoot set up by The Photo Roadies that you at least tag #thephotoroadies @thephotoroadies when sharing on your own social media. These pictures can carry your own logo. Please and Thank you!
- There should be NO distribution of pictures between photographer and the performer on a show arranged by The Photo Roadies. This is to establish a communication relationship and to make it easier to obtain shows going forward based on past efforts.
- Submission process: All submissions should come by email to [email protected] using a file sharing system that can be easily accessed. i.e. (Dropbox, Google drive, wetransfer, etc). These submissions should be forwarded within 48 hours of the shoot.
